Sync keeps every device on the same page. On the Sync and Pro plans it runs through Grape Cloud, Grape's own servers, and that is what this guide covers. Getting it running
Sign in with the same account on each device and sync takes care of itself. The first sync uploads your existing library, which can take a while on a big one, and after that changes move as you make them. On a new device your folders and notes appear first, then pictures, then PDFs and recordings.
When it runs
Automatically: when the app starts, when you return to it, every fifteen minutes, and a couple of seconds after you stop editing. The Cloud Sync tab in Settings shows when the last sync happened and has a Sync Now button for the moments you want to force it.
What travels
Notes, folders, tags, drawings, flashcards, quizzes, mind maps, slide decks, mini apps with what they saved, attachments, chats, the search index and your settings. A locked note travels too, encrypted the way it is stored, so the server holds it without being able to read it. An AI app you connect to your account writes through the same sync, so a note ChatGPT or Claude creates shows up on every device the same way. Settings syncing is why your prompt templates, agents, the order of your note templates, personalization, appearance and theme, spell check switch and even panel layout follow you between machines. On Pro, your routines live on Grape's servers, which run them, so every device shows the same routines and their history, and the chats and notes their runs write arrive with the next sync.
Sync is also what carries the folders and notes you share with other people, and the ones shared with you, between everyone's devices. On Pro, the typing in a shared note open on several devices goes live as well, straight to everyone in the note, and sync carries the rest of it.
Version history and backups do not travel. Each device keeps its own, and neither is stored on Grape's servers, apart from the edits people make in a shared note, which version history shows everyone in it. Your notification settings and a transcript you have not inserted yet stay on the device that made them too, and so does the text Grape reads out of your PDFs: each device reads the PDFs it has. So does what Grape puts in Spotlight on an iPhone or iPad: each one fills it from its own library, and what a sync brings in turns up there a couple of seconds later.
Storage
Attachments count against a storage limit: 10 GB on the Sync plan and 100 GB on Pro. Notes themselves never count, only the images, PDFs and recordings inside them, and the pictures Grape AI draws for you on Pro are kept outside the limit. A file added to a shared note counts toward the storage of whoever added it, not the note's owner. The Cloud Sync tab in Settings shows how much of it you are using.
When the limit is reached, notes keep syncing and the attachment that did not fit stays on the device it was added on. To make room, delete the notes that hold the big files and empty Recently Deleted, or take the attachments out of the notes; the next sync frees the space and the meter follows. Your local copy stays
Sync does not move your notes off your machine. The local database is still there and still works with no connection, and sync keeps the copies in step. If you stop subscribing, the notes on each device stay on that device.
If something looks off
Sync retries failed runs on its own. A note edited on two devices at once resolves to the most recent change, and version history keeps the earlier text reachable. A shared note is the exception: its edits merge, so changes made at the same time are all kept, whoever made them.
