Share a folder or a note

Invite people by email to edit or read a folder or a single note, how edits merge when you collaborate, live typing on Pro, and what cannot be shared yet.

Share a folder, with its subfolders and notes, or a single note, and you and the people you invite work on it together, each in your own Grape apps. Sharing is part of the Sync and Pro plans, and everyone you invite needs Sync or Pro as well to join. On Pro you also see each other type as it happens. Lifetime on its own does not include sharing: it syncs through your own Dropbox or Google Drive, and sharing needs Grape Cloud, the sync of the Sync and Pro plans. Without either plan, the share dialog says which plans include sharing, with the way to get one.

Sharing a folder

On desktop, right click the folder in the sidebar and choose Share Folder. On mobile, open the folder and choose Share Folder from the menu in the header. Everyone you invite gets the folder, every subfolder in it and every note in them, and a note written in the folder later is shared too.

Your shared folder stays where it is in your list, marked with a people icon, and the people you invite find it in the Shared section of their sidebar on desktop and the Shared group of their Folders screen on mobile. A folder inside a shared folder is shared with it already, so it cannot be shared on its own, and neither can a folder that holds something you share.

Sharing a note

Open the note menu and choose Share, on desktop or on mobile. Only that note is shared: it stays in its folder for you, and lands in a folder called Shared with me for the people you invite. A note inside a shared folder is shared with the folder's people already, so it cannot be shared on its own.

Inviting people

In the share dialog on desktop, or the share sheet on mobile, type an email address, choose Can edit or Can view and send the invite. Grape emails each person a link, and the invite also waits for them in Settings under Sharing.

Until someone joins, their invite shows as pending in the list of people, where you can send it again or withdraw it. An invite is good for 30 days, and up to 50 people can join one folder or note.

Can edit and Can view

Can edit is for the people you work with. They write in the notes, add notes and subfolders, and delete notes; a note deleted in your shared folder goes to your Recently Deleted, where you can bring it back. Can view is for the people who only need to read: every note opens read only, with no toolbar and no keyboard.

Only you, the owner, invite people, change what they can do, remove them and stop sharing.

What the people you invite see

Once they join, the folder appears in the Shared section of their sidebar on desktop and the Shared group of their Folders screen on mobile, with its subfolders and notes. A note shared on its own appears in their Shared with me folder. Pins stay personal: a note someone pins moves to the top for them alone.

When several people edit

Edits merge. Two people can work in the same note, even in the same paragraph, and both changes are kept rather than one overwriting the other. To see who changed what, open version history: in a shared note it lists each person's edits under their name, with what they added and deleted.

On Pro, a note open on several devices at once is typed in together: what the others type shows as they type it, at a cursor in their color that carries their name, and the people in the note show in its header. On Sync, the changes travel with sync instead, which runs a couple of seconds after an edit, when the app comes back to the front and every fifteen minutes, and Sync Now in the Cloud Sync tab of Settings brings them in at once. In a share with people on both plans, the people on Pro see each other type, and an edit from someone on Sync lands when their sync does.

Changing or removing people

Open the share dialog or sheet again from the same menu, where the item now reads Sharing. Pick a new role beside a person, or remove them. Removing someone takes the folder or note off their devices on their next sync, and everything stays with you, including what they wrote. Once nobody else is in it and no invite is waiting, whether you removed the last person, they left or the last invite was declined or ran out, the folder or note is no longer shared: it loses the people icon, and inviting someone shares it again.

Stopping sharing

Stop sharing a folder or a note from its share dialog, which also opens from the list of everything you share in Settings under Sharing. The folder or note comes off everyone else's devices on their next sync, and you keep all of it, with every edit people made. What Grape's servers kept for the share goes at once: the people in it, the invites and the record of who changed what. The edits already in your version history stay there.

If your plan ends, sharing pauses rather than stops: everyone can still read, nobody can edit, and nothing is deleted. It picks up where it left off when you subscribe again.

Files in a shared note

Pictures, PDFs and recordings count toward the storage of whoever added them, not the owner's. A Brainrot video, an infographic or the pictures of a slide deck drawn on Grape's servers show only for the person who made them.

What cannot be shared yet

  • A locked note cannot be shared, and a note inside a shared folder cannot be locked. A locked note already in a folder you share stays with you: nobody else receives it.
  • Notes cannot move between your own folders and a folder someone shared with you. In a folder you share, your own notes move in and out as usual: moving one in shares it, moving one out stops sharing it.
  • Chats are not shared, and there is no public link that opens a note without an invite.
