Join a shared folder or note

Accept an invite in the app or from the email, what joining takes, and what happens when you leave or sharing pauses or stops.

When someone shares a folder or a note with you, Grape emails you an invite, lets you know on your devices and keeps it waiting in the apps. Joining takes a Grape account on the Sync or Pro plan, the same plans sharing comes with, so Lifetime on its own is not enough, even with your devices syncing through Dropbox or Google Drive.

When an invite arrives

Once you switch on Sharing invitations under Notifications in the phone's Settings, your phone gets a notification, even with Grape closed, the same way it hears about finished AI work. It names who invited you, never the folder or note, so nothing written in Grape travels through Apple or Google. Tap it and Grape opens Settings on Sharing with the invite at the top. With Grape open, a banner at the top of the screen says it instead, and View takes you there.

On desktop, once you switch on Notify me about sharing invitations in the Notifications tab of Settings, a notification shows when a sync brings the invite while Grape is behind another app, and clicking it opens the Sharing tab of Settings. With Grape in front, a message at the foot of the window says so instead.

Both switches start off, and switching one off again stops its notifications. The email, the message in Grape and the invite in Settings come either way.

Accepting in the app

Open Settings and go to Sharing. Invitations wait at the top, each with who sent it, what it is and whether you can edit or only view. Choose Accept and the folder or note arrives with the next sync, or Decline to turn it down. Whoever sent it can invite you again.

Accepting from the email

The email's Open the invite button opens the invite on grape.cool. Choose Continue with Google, sign in with the address the invite was sent to, and choose Join folder or Join note. Your devices pick it up the next time they sync, and the page has buttons that open Grape on your computer or your phone. Signed in with a different account, choose Use another account first.

Without Sync or Pro

The invite waits for you. The invite page offers the plans, and Accept works once you subscribe. An invite is good for 30 days; after that, ask for a new one.

Where it shows up

A shared folder appears in the Shared section of the sidebar on desktop and the Shared group of the Folders screen on mobile, with its subfolders and notes. A note shared on its own lands in a folder called Shared with me. With Can view, notes open read only, with no toolbar and no keyboard.

Working in it

With Can edit, write in the notes the way you write in your own, add notes and subfolders, and delete the notes nobody needs; a deleted note goes to the owner's Recently Deleted. Edits from several people merge, so two of you can work in the same paragraph and nothing is overwritten, and version history shows who changed what.

On Pro you type together with the others on Pro: what they type shows in the note as they type it, at a cursor that carries their name, and with Can view you watch it happen without typing. On Sync, edits arrive when the apps sync, a couple of seconds after an edit, when the app comes back to the front and every fifteen minutes.

Pictures, PDFs and recordings you add count toward your own storage. Notes cannot move between your own folders and a shared folder yet, and a note in a shared folder cannot be locked.

Leaving

Open Settings, go to Sharing and choose Leave beside the folder or note under Shared with you. The shared folder's own menu has Leave too, where Delete Folder would be. It comes off your devices, the owner and everyone else keep it, and the owner can invite you again.

When sharing pauses or stops

If the owner's plan ends, sharing pauses: you can still read everything, nobody can edit, and it picks up where it left off when they renew. Nothing is deleted. If the owner stops sharing or removes you, the folder or note comes off your devices on the next sync, and the owner keeps it.
